Box
Box allows you to share and collaborate on documents and other files online. With a UR Box account, you can collaborate with individuals both internal and external to the University.
Box Automate
Box Automate is a workflow automation tool that enables Box users to automate and accelerate business processes centered around content. Use Automate's straightforward interface to build simple workflows that can facilitate collaborations, automate document flow, or apply labels to content in your Box account.
Box Canvas
Box Canvas is a flexible, digital white-boarding environment with unlimited space and an intuitive, easy-to-use toolset for visual collaboration. With Canvas, your teams can take their ideas from brainstorming to execution right within Box.
Box Drive
Box Drive is a desktop application that provides access to all of your files and folders in the Box cloud. Create and work with files using the applications on your computer and any changes you make will automatically save back to your Box account. Use Box Drive to quickly and easily leverage Box's collaborative features such as sharing, locking, and creating Box Notes.
Email Aliases
Email aliases provide everyone in the University community with consistent and easy-to-remember email addresses based on their name (e.g., firstname.lastname@rochester.edu). You can opt in and choose an email alias. This does not require you to reconfigure your email application or re-subscribe to any email lists.
File Servers
Each faculty and staff member is typically provided with a home share on a file server (sometimes called a network drive) to store their files. Departments or groups may also use file servers to store and share files that they are working on collaboratively.
Grammarly for Education
Grammarly for Education offers a comprehensive writing assistance tool that augments writing and learning, enabling faculty and staff to become effective communicators.
Grammarly for Education is ONLY available for faculty and staff, it is NOT available for students or student workers.
Mailing Lists: Exchange
Exchange distribution lists allow you to send an email to a single address and then have that message automatically delivered to a group of people. Exchange lists enable easy two-way communication between those authorized to use the list, and they are accessible through the University's Global Address List (GAL).

Listserv allows you to send an email to a single address, and have the message automatically delivered to a group of people. Mailing lists enable easy two-way communication between you and other members of your list, both internal and external to the University. Listserv is effective for announcements, moderated discussions, and mailing to groups on a variety of email systems.
Microsoft 365 Mailbox, Webmail and Calendar
Microsoft 365 is a suite of collaboration tools that includes Exchange-hosted email and calendar service. It offers a seamless workflow with Microsoft Office and other programs.
Microsoft 365 OneDrive for Business
OneDrive for Business provides a place in the cloud where you can store and sync your work files. Update and share your files from any device and work collaboratively with others on Office documents.
Microsoft Planner
Microsoft Planner provides a range of options to help teams organize and manage their work effectively. Create multiple plans for different projects, customize task boards with buckets and labels, and integrate Planner with tools like Teams and Outlook for seamless collaboration. Various plans are available. See below for options.*

Microsoft Teams
Microsoft Teams is a chat-centered workspace in Office 365. It brings people, conversations, files, and tools into one place, so everyone has instant access to everything they need. Always double-check your sharing settings before sending/copying a link.
Microsoft Visio
Microsoft Visio provides a range of options to help individuals and teams visualize processes, systems, and ideas. You can create professional diagrams such as flowcharts, org charts, and network diagrams using built in templates and shapes, and collaborate on diagrams through integration with Microsoft 365 apps like Teams and SharePoint. See below for plan options.
Qualtrics
The Qualtrics XM is a user-friendly, feature rich, web-based survey and form building tool available to University of Rochester Faculty, Staff and Students at no cost. This collaboration tool supports business workflows allowing users to build, distribute, and analyze online forms or surveys reporting results with pre-rebuilt templates and exported in multiple formats.
SecureMail
Faculty and staff sending high risk information to external email addresses are required to use SecureMail. University IT recommends also using SecureMail to send high risk information to University email addresses.
SharePoint
SharePoint is a web-based tool that enables teams to collaborate using team sites, document publishing, blogs, wikis, and forums. It provides a secure place to store, organize, share, and access information from almost any device and all major web browsers.
Smartsheet
Smartsheet is a cloud-based application offering lightweight project and task management features for individuals and small groups. Smartsheet uses a spreadsheet-based interface to capture and display action items, budgets, inventory, and more, with a variety of reporting and display features.
Spam Management (Proofpoint)
The University uses Proofpoint to help protect University email addresses from spam, phishing messages, and other malicious email. Proofpoint also protects all mailing lists and distribution lists. You are automatically enrolled in Proofpoint.
Student Email (Gmail)
University IT, in collaboration with Google, Inc., provides a Gmail interface for student email. This system features 10Gb max storage (including email), enhanced mail search, Instant Messenger chat integration, access to Google Drive, and full calendar use.
Teleconferencing
Teleconferencing services are available for faculty and staff conducting University business. Conference calls can be initiated using the University's telephone system or arranged by University IT through GlobalMeet.
Zoom Video and Web Conferencing
Zoom video and web conferencing allows up to 300 participants to simultaneously collaborate over the Internet. You can attend video or audio meetings, share presentations, hold training seminars, and more from any location with a computer and Internet connection.
