What are the steps I need to take to ensure my new hire has all of their IT accounts and access on their first day?

  1. Ensure that your new hires paperwork has been submitted to HR so they have it completed at least 3 business days prior to their expected start date.
  2. Request any additional access like application or shared drive access through the ISD Service Portal.

How will my new hire receive their IT accounts and access on their first day?

  1. New hires will receive their URIDs at either IT or HR orientation.
  2. The URID will be used to complete New User Initialization at https://myidentity.rochester.edu/newuser.
  3. During initialization, your new hire will learn their usernames, set their first time password, register for Duo and set up security reset questions.
  4. The new hire will receive an IT welcome letter giving them the Help Desk phone number and email address as well as other IT information.

Do I need to request an account for my new employee?

No. Accounts will be automatically created overnight the evening after the new employee has been entered into the HR system.

Access will be granted based on the template associated with your department, and your new hire’s job code. You can view templates at https://myidentity.rochester.edu/urmctemplateviewer and request updates through the ISD help desk.
