When sending bulk email, newsletters, or automated messages using platforms such as Mailchimp, Constant Contact, or similar services, you cannot send from your personal or departmental university affiliated email address(es). This includes emails that end in @rochester.edu, @ur.rochester.edu, or @urmc.rochester.edu. 

This requirement helps protect the University from spoofing and phishing by enforcing domain-level email authentication. 

Approved options include: 

  • Option 1: Use an approved University platform 
    • Send email using Outlook or an approved mailing service such as Listserv. https://tech.rochester.edu/services/mailing-lists/  
  • Option 2: Use a non-University sender address 
    • Configure the service to send from the vendor’s own email address 
    • Example: mypathsupport@csod.com 
  • Option 3: Use an approved University subdomain 
    • The University provides notices.rochester.edu for approved third-party email use cases.
